NZTA Sync
NZTA Sync automates all of your compliance details directly from the NZTA registry into Fleetpin. It can be activated by an Admin user in the Add-Ons section of the Fleetpin web app. You can enable it for all or just some of your assets, depending on your specific needs.
How It Works
When NZTA Sync is enabled for an asset, Fleetpin connects to the NZTA registry and pulls the latest WoF, CoF, Registration, and RUC expiry dates directly into Fleetpin. These expiry dates then power Fleetpin’s reminder system, so you stay informed about upcoming renewals without manual tracking.
Once enabled, you’ll see updated compliance details in the Compliance Report, Asset Overview, and the Admin Asset Reminders tab.
Syncing triggers - Our smart polling strategy
NZTA charges a small fee for every compliance check, and this fee is included in the cost of your Fleetpin add-on. To keep the add-on affordable, Fleetpin only runs checks when they are needed. This ensures you always have accurate compliance information without paying unnecessary costs.
So when does the syncing happen?
- On Purchase
- When NZTA Sync is first enabled, we run an initial sync to pull through the latest compliance details for the selected vehicles.

- Due Soon
- When a WoF, CoF, Registration, or RUC enters the ‘Due Soon’ window, a sync runs. By default, this window is 30 days for date-based reminders and 10% of distance for RUC, unless you’ve set a custom threshold.

- Halfway Point
- If the compliance renewal hasn’t been resolved, we trigger another sync roughly halfway between “Due Soon” and “Overdue".
- Overdue
- Once the compliance status becomes “Overdue,” we run another sync to confirm the status and capture any last minute updates.

- Post-Expiry Grace Period
- If still unresolved, Fleetpin continues syncing once per week for three weeks after the expiry date to catch late renewals. Automatic syncing will stop after this and you’ll need to manually update the record for it to continue.

Getting Started
NZTA Sync is an additional Add-On feature that can be activated by an Admin user in the Add-Ons section of the Fleetpin web application. You can enable NZTA Sync for all or just some of your assets, depending on your specific needs.
Once enabled for an asset you will be able to see all updated compliance details in the Compliance Report, Asset Overview and the Admin Asset Profile tab.
Before enabling NZTA Sync:
- Each vehicle must have a valid registration plate in its profile.
This can be done in the Asset Profile in the Admin Asset Profile tab. - For RUC syncing, NZTA Sync requires a valid distance meter to be configured.
To activate NZTA Sync:
- You must be an admin user.
- Go to the menu on the left hand side of the Fleetpin web application and navigate to the Add-Ons and select NZTA Sync.
- Enable the add-on for the assets you want synced.
Helpful Tips
- If an asset has been automatically updated by NZTA Sync it will display as follows. Manual updates will show as entered by the user.
- For instant visibility of your assets compliance status you can go to the Compliance Report. By clicking the select assets button, you can select specific assets you want to view in the report and filter the report by changing the reminder details.

To get the most out of NZTA Sync, we suggest you have reminders and email notifications turned on for WoF, CoF, registration and RUC. This will enable Fleetpin to seamlessly remind you about upcoming renewals and update them in the system using NZTA Sync without you having to manually keep track of anything. Reminders can also now be added on in the Asset Overview tab.

Important Notes
- NZTA Sync will overwrite existing compliance details (expiry dates and status) with official NZTA data.
- If a vehicle remains overdue beyond the three-week grace period, automatic syncing stops and you’ll need to manually update the record.
